HRsency Lens privacy policy

C9INFOTECH (“we”, “us”, “our”) operates the HRsency Lens mobile application (“App”). This Privacy Policy explains how we collect, use, store, and protect information when you use the App.

By using HRsency Lens, you agree to this Privacy Policy.

2. What HRsency Lens does

HRsency Lens is a face-recognition attendance application for businesses. It allows employers to register employees, record attendance using facial recognition, view reports, and (optionally) sync data with C9 cloud / ERP systems.

3. Information we collect

3.1 Account and registration information

When you create or sign in to an account, we may collect:

  • Full name
  • Email address
  • Password (stored securely on your device; transmitted securely to our servers for authentication)
  • Client / company code
  • Phone number (optional)
  • Company name (optional)

3.2 Biometric and employee data

To provide face-based attendance, the App may process:

  • Face images captured during employee enrollment and attendance
  • Face embeddings (mathematical digital templates derived from face images, used for matching)
  • Employee details such as name, email, employee ID, department, and attendance records (check-in/check-out times, dates, shift information)

This data is primarily stored on the device used as the attendance kiosk. If cloud sync is enabled, it may also be stored on your organization’s C9 / ERP server.

3.3 Device information

We collect a unique device identifier to bind your license to a specific phone/tablet, prevent unauthorized use of your account on other devices, and support trial and license activation. This may include Android device identifiers generated or stored by the App.

3.4 License and subscription information

For standalone (C9 central) users, we may process trial start/end dates, license status and expiry, license key (stored on device after activation), and device ID sent to our server during signup, login, and license checks.

3.5 Payment-related information

If you use Buy now / UPI payment:

  • Payment amount and UPI details are loaded from our server
  • Your device ID may be included in the UPI payment note/reference field so we can match your payment
  • The App does not store your bank or UPI PIN
  • You may be asked to email a payment screenshot to us; that is handled outside the App

3.6 Local network (LAN) dashboard

If enabled by the administrator, the App may run a local web server on the same Wi‑Fi network so other devices on that network can view attendance reports. This data stays on the local network and is not sent to the internet unless separately synced to cloud.

3.7 Backup data (optional)

If you use backup features, employee and attendance data may be exported to device storage or files you choose. You control where those backups are stored.

3.8 Technical and log data

We may collect limited technical information when the App communicates with our servers, such as API requests for login, signup, license verification, and employee sync; network connectivity status; and error information needed to maintain the service. We do not intentionally collect precise GPS location in the current version of the App.

4. How we use your information

We use collected information to:

  • Provide face recognition attendance and related HR features
  • Authenticate users and manage accounts
  • Activate and verify trials and licenses
  • Sync employee and attendance data with your organization’s C9 / ERP system (when configured)
  • Provide local LAN reporting on your Wi‑Fi network
  • Process license payments and support requests
  • Improve security, prevent fraud, and maintain the App
  • Comply with legal obligations

Face data is used only for attendance identification and related features within your organization’s use of the App. We do not use it for advertising or unrelated profiling.

5. How face recognition works

HRsency Lens uses:

  • Google ML Kit for face detection on the device
  • On-device machine learning (FaceNet / TensorFlow Lite) to create face embeddings
  • Matching performed on the device for offline attendance; cloud sync is optional depending on your setup

Face processing for attendance typically happens locally on the kiosk device. Raw camera frames are used for recognition and are not permanently stored as video.

6. Legal basis (where applicable)

Depending on your region, we process data based on performance of a contract, legitimate interests (security, license enforcement, fraud prevention), consent where required for biometric processing, and legal obligation.

Employers using HRsency Lens are responsible for informing their employees and obtaining any required consents for biometric attendance under local laws (including applicable Indian labour and privacy rules).

7. Data storage and security

  • On-device storage: SQLite database, secure storage (login credentials, API keys, license keys, device ID), and internal app files for face images/templates
  • Cloud storage: Data synced to C9 / ERP servers hosted at *.c9infotech.com under your organization’s account
  • Security measures: Encrypted connections (HTTPS) for cloud communication, secure storage on device, access controls for LAN dashboard, code obfuscation in release builds, disabled Android backup for app data

No method of transmission or storage is 100% secure, but we take reasonable steps to protect your information.

We do not sell your personal data or biometric data to third parties.

9. Data retention

  • On device: Retained until deleted by the administrator, app uninstall, or data reset
  • Cloud (ERP/C9): Retained according to your organization’s settings and our agreement with you
  • Account/license records: Retained as long as needed to provide the service, enforce licenses, and meet legal requirements
  • Payment proof (screenshots emailed to us): Retained only as long as needed for license activation and accounting

You can revoke permissions in Android settings, but some features may stop working.

11. Your rights

Depending on applicable law, you may have the right to access, correct, delete, or restrict processing of your personal data, withdraw consent where applicable, and lodge a complaint with a data protection authority.

Employees: If your employer uses HRsency Lens, contact your employer/HR department first. They control employee attendance and biometric enrollment data.

Account holders: Contact info@c9infotech.com with your registered email and client code.

12. Children’s privacy

HRsency Lens is intended for business and workplace use, not for children under 13 (or the minimum age in your country). We do not knowingly collect data from children.

13. International transfers

If you use cloud sync, data may be processed on servers operated by C9INFOTECH. By using the App with cloud features, you acknowledge such processing subject to applicable safeguards.

14. Third-party services

The App may link to or interact with C9 / ERP platforms, UPI payment applications, and Google Play for app distribution and updates. Their privacy practices are governed by their own policies.

15. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version on our website and update the “Last updated” date. Continued use of the App after changes means you accept the updated policy.
